# Working with Facilitated Training (Training Management)

[QualityOne Vaults](/en/lr/55180/) enable users with appropriate access to give completion credit for _Training Assignments_ on behalf of Learners. This allows completion of Vault document _Training Assignments_ for Learners that may not have access to Vault. For example, in some organizations, users could be contractors, external employees, temporary employees, or otherwise outside the primary organization.

Using Facilitated Training, you can create _Person_ records that do not reference a user account, yet still function with Training Management. [Training Management automation](/en/lr/55176/) still issues _Training Assignments_ to these _Persons_, but does not assign a workflow task. After training is held, the responsible Training Administrator creates a _Facilitated Training Request_ record and selects the _Training Assignments_ for which to give completion credit.

Depending on your [Admin's configuration](/en/lr/71118/), object, field, and section labels may appear differently than the labels mentioned in this article.

## Creating Non-User Person Records {#creating-records}

For Learners who do not have user accounts for Vault, you can use Facilitated Training to both ensure that they receive the correct _Training Assignments_ via Training Management automation and to ensure their completion of the training is tracked accordingly.

To add a Learner that does not have Vault access to your Vault as a _Person_ record:

1. Navigate to **Business Admin > Objects > Person**, or to a _Person_ custom object tab.
2. Click **Create**.
3. Select the **Person is not a Vault user** checkbox.
4. Fill in the required details. Once the _Person is not a Vault user_ checkbox is selected, the _User_ field is no longer required when saving the _Person_ record.
5. Click **Save**.
6. Add _Learner Roles_ as normal on the _Person_ record. Training Management automation will issue _Training Assignments_ as normal to the _Person_, but will not start any training workflows.

## Tracking Training Assignments for Non-User Persons {#tracking-training}

Since _Training Assignments_ created for Learners without user accounts are not included in any workflows, there are no automatic notifications for overdue training. As such, Training Administrators should monitor open _Training Assignments_ for such Learners. In addition to standard reports, Training Administrators can leverage the _Person is not a Vault user_ value on _Training Assignment_ records, which is copied from _Person_ records to _Training Assignments_ when they are issued.

## Completing Facilitated Training Assignments {#completing-facilitated}

After the non-*User* Learner has completed the required training, a Training Administrator can use a _Facilitated Training Request_ to give that Learner credit within Training Management. You can use Facilitated Training to give credit for either a _Training Requirement_ or a _Curriculum_.

To complete a _Training Assignment_ for a non-*User* Learner:

1. Navigate to **Business Admin > Objects** or a custom object tab and click into the relevant _Training Requirement_ or _Curriculum_.
2. In the _Facilitated Training Request_ section, click **Create**.
3. Select either **Curriculum Facilitated Request** or **Training Requirement Facilitated Request** from the drop-down, as appropriate.
4. Fill in the required details.
5. Click **Save**.
6. In the _Training Assignments_ related record section of the resulting _Facilitated Training Request_ record, click **Add**.
7. In the _Search: Training Assignments_ dialog, find and select the relevant _Training Assignments_. You can add or remove filters to refine your search.
8. Click **Save**.
9. If necessary, continue to add relevant _Training Assignments_ within the _Facilitated Training Request_ record.
10. Once all relevant _Training Assignments_ have been added, use the **Change State to** user action on the _Facilitated Training Request_ record to change its state to one that has been configured by an Admin to start the _Facilitated Training_ job, for example, "Ready for Processing".

After completing the _Facilitated Training Request_ process, the linked _Training Assignments_ are moved to the _Completed_ state, and the _Completion Source_ picklist field on the _Training Assignments_ is populated with Facilitated Training. Any open quiz (_TA Checklist_ objects) or e-Learning content (_Training Content Status_ objects) records will be moved to the _Cancelled_ state.

When a Learner views a _Training Assignment_ that was completed by _Facilitated Training_, Vault displays the record details page instead of the task page.

## Limitations {#limitations}

The following limitations apply to Facilitated Training:

* By default, the maximum number of Learners that can receive completion credit in one _Facilitated Training Request_ is 100. If necessary, contact Support to change this maximum.
* If a Learner (_Person_ record) does not reference a _User_, but later adds a _User_ reference, Training Management will not assign training if the Learner has already completed it via Facilitated Training. Nor does Training Management start workflows for such Learners for open _Training Assignments_. All currently assigned training at the time the _User_ reference was added will need to be completed via _Facilitated Training Requests_.
