QualityOne Station Manager is a mobile application for Apple iPadOS devices that allows workers in manufacturing facilities to view quality documents, including video types of documents, on shared devices remotely with fast, encrypted, online access 24 x 7. As a Site IT Administrator, you can manage the provisioning of devices available on the shop floor and setup each device to associate with a Station. Typically, you can start setting up QualityOne Station Manager for provisioning to the Manufacturing User after the Business Administrator has configured the application in Vault.

Supported Devices & Operating Systems

Before you start to use QualityOne Station Manager, review the list of supported versions to ensure your device is compatible.

Operating system and version information is stored in the Operating System and Application Version fields on Station Device object records on each sync. Business Administrators and Site IT Administrators use this field to track which version of the QualityOne Station Manager mobile application is in use on the manufacturing floor so they can ensure their devices are always on the latest supported version of QualityOne Station Manager.

Downloading QualityOne Station Manager

Use the Apple App Store to download the latest QualityOne Station Manager application to deploy:

Setting Up QualityOne Station Manager

The user accounts you use to login to the QualityOne Station Manager application must have the appropriate permissions to set up the QualityOne Station Manager application. To set up QualityOne Station Manager:

  1. Open QualityOne Station Manager from the device.
  2. Enter the appropriate Vault login credentials and tap Login. You must be connected to the internet to log into QualityOne Station Manager.
  3. On the Choose a Vault page, you can scroll or use the search bar to find a Vault.
  4. Choose the appropriate Vault, then tap Next.
  5. On the Choose a Station page, you can scroll or use the search bar to find a station.
  6. Choose the appropriate station, then tap Done. You can only associate one (1) station with each device.
  7. Tap Confirm to associate the selected station with your device.

QualityOne Station Manager syncs with QualityOne Vault to retrieve the latest document versions associated with the station you chose.

To confirm that QualityOne Station Manager synced successfully, ensure that:

  • You don’t see a “Last Sync Failed” message
  • You see the time of the last update

Setting Up Domain Safelisting

If you have an internal IT policy that requires safelisting domains, QualityOne Station Manager must be able to connect to the following domains:

  • *.veevavault.com
  • *.crashlytics.com
  • *.fabric.io

Changing Languages

QualityOne Station Manager supports the same languages that Vault supports. To change languages on QualityOne Station Manager:

  1. Update the language on the device through the device settings.
  2. In Vault, navigate to Admin > Users & Groups > Users and select the User used to login to QualityOne Station Manager.
  3. Click Edit.
  4. Scroll down to Settings and select a Language from the drop-down.
  5. Click Save.

Syncing Devices with Vault

QualityOne Station Manager automatically syncs with your QualityOne Vault every 15-20 minutes, or as soon as WiFi is available after the device has been offline longer than this period.The application is considered offline even if it is running in the background.

With each sync, QualityOne Station Manager:

  • Ensures that the latest documents downloaded through a custom URL or QR code are available.
  • Updates metadata for existing documents.
  • Downloads content and metadata for any new Steady state documents.
  • Replaces content and metadata for any new versions of existing Steady state documents.
  • Removes content and metadata for any documents now in a Superseded state.
  • Removes content and metadata for any documents now in an Obsolete state.
  • Sends activity tracking data to Vault.
  • Updates the Last Successful Sync timestamp on the associated Station Device object record. Business Administrators and Site IT Administrators can leverage this field to set up a flash report that notifies them if there are any devices not successfully syncing with Vault.
  • If the sync fails, Vault updates the Sync Details field on the Station Device object record with information about the most recent Vault sync for the device. This functionality supports future releases of the QualityOne Station Manager mobile applications.
  • Unregisters the device if the associated Station Device object record is not found, or if its state has been changed to Removed.
  • Updates operating system and version information in the Operating System and Application Version fields on Station Device object records.

QualityOne Station Manager only syncs content and metadata for document versions associated with the current Station. QualityOne Station Manager downloads and displays the viewable rendition (viewable_rendition__v) for traditional documents, and the video rendition (video_rendition__v) for videos. Video display is also available.

Activity Tracking

QualityOne Station Manager tracks and stores data of when a user views a document and sends this data to Vault during a sync. If the Station User logged into the device has the correct permissions, Vault creates a Station Manager Activity high volume object record for each document view including the date, time, and document, as well as the associated Station, Station Device, and Station Document records.

Once this occurs, a corresponding Document Usage object record is created with a Channel value of Station Manager and a Context value of the Station in which the activity originated. This allows users to report on activity data across Vault and QualityOne Station Manager from a single object.

Accessing QualityOne Station Manager Settings

The application’s Settings appear on a locked page, accessible only by Site IT Administrators who have the QualityOne Station Manager login credentials. To access the Settings page of QualityOne Station Manager:

  1. Tap Settings (Settings Icon) in the application’s upper-right corner.
  2. Enter the same QualityOne Station Manager username and password that was used to log into the device and tap Continue. If you enter an incorrect username, QualityOne Station Manager displays a message with the associated Station Device record which you can reference in Vault to find the correct username for this device.

From the Settings page, you can see the QualityOne Vault and Station to which the application is currently associated, the associated Station Device record, and the Station Manager version number. From this page, you can switch stations, or sign out of the application.

Switching Stations

You can switch stations to associate your device with a new station. Switching stations changes the associated Station Device record’s state to Removed, creates a new Station Device record in the Approved state, and erases all documents on your device associated with the previous station. To switch stations:

  1. Tap Switch stations.
  2. In the confirmation dialog, tap Continue.
  3. Select a new QualityOne Vault and Station.
  4. Tap to Confirm that you want to delete all document versions and metadata associated with the current station and associate the newly-selected station with your device.

Enforcing QualityOne Station Manager Version

When a new version of QualityOne Station Manager is available, the mobile application starts populating the Days Left to Upgrade field on Station Device records for devices that have not yet been updated to the new version. This field supports version enforcement functionality within the application for future release upgrades. The value reduces each day until it reaches zero (0). We recommend configuring a flash report on this field to notify you when devices need to be updated.

Using Enterprise Mobility Management for Deployment

You can configure QualityOne Station Manager for your organization using Enterprise Mobility Management (EMM) software, such as MobileIron or AirWatch to deploy and control the mobile application to your devices. Certain QualityOne Station Manager features, such as “Warning Mode”, are only configurable by using your EMM software. You can complete all the steps in this article with the standard System Administrator or Vault Owner security profile. If your Vault uses custom security profiles, your profile must grant the following permissions:

Security Profile Application: Vault Actions: Document: Download Rendition Ability for Vault to populate the QualityOne Station Manager application with document renditions.
Security Profile Application: Client Applications: Station Manager: Enable Ability to use the QualityOne Station Manager mobile application. Without this permission for a given Vault, users will see an error when attempting to login to QualityOne Station Manager. This permission is enforced on iOS.
Security Profile Application: Client Applications: Station Manager: Enable Direct Installation Ability to use the public version of QualityOne Station Manager, available from the Apple App Store. Without this permission, users must use the QualityOne Station Manager application version provisioned by their organization's Enterprise Mobility Management provider. This permission is enforced on iOS.

We recommend only enabling this permission for testing or demonstration purposes, not for production use.
